Student Employment Application & Hiring Process

  • STEP 1: USE HANDSHAKE
    • Supervisors: Using the NACE Career Readiness Competencies and a flexible template provided by the Career Center, write the position description and post to Handshake to ensure fair and equal access to all students.
    • Students: Identify on-campus student employee positions you’re interested in and submit application(s) (including any requested documents such as a resume or cover letter) before the position application deadline. 
      • Students are encouraged to have any requested documents, such as a resume or cover letter, reviewed by the Career Center prior to submitting their application(s). Set up an appointment on Handshake.
  • STEP 2: REVIEW, INTERVIEW, OFFER 
    • Supervisors: Review applications, interview qualified candidates utilizing best practices provided by the Career Center, and make hiring decision(s). 
    • Students: If a supervisor wants to interview you for a position you applied for, they will reach out to set up an interview. Complete the interview process. If offered a position that you want to take, accept the position. 
      • The Career Center can help you prepare through an appointment to discuss common interview questions and types of questions and/or through a mock interview. Set up an appointment on Handshake. 
  • STEP 3: STUDENT EMPLOYMENT AGREEMENT
    • Supervisors: Complete the online Student Employment Agreement (SEA), where you will also identify a Time Sheet Proxy.
    • Students: You will be notified through your @unca.edu email to complete your portion of the Student Employment Agreement (SEA). 
  • STEP 4: REQUIRED DOCUMENTATION
    • Supervisors: Remind student employees of this requirement and its importance. 
    • Students: Complete all required documentation with Human Resources. You cannot begin working until all paperwork is completed.
      • If this is your first on-campus paid position, all forms listed below must be completed.
        • I-9 Employment Eligibility Verification with supporting documentation
          • Original documents validating identification and authority to work in the United States Supporting documentation must be provided in-person to Human Resources 
        • W-4 Federal Tax Form
        • NC-4 EZ State Tax Form OR NC-4 State Tax Form
        • Direct Deposit Enrollment and Change Form with voided check or bank form showing routing and checking account numbers
      • If this is not your first on-campus paid position, you do not need to complete the forms listed above.

(Once the SEA and all required documents are submitted, Payroll will enter the student employee information into Banner, which allows access to timesheets.)

  • STEP 5: 
    • Supervisors: You will receive an email confirming the student is able to begin working. 
    • Students: You will receive an email confirming you are able to begin working.
