UNC Asheville’s Events & Conferences Office is the starting point for all events and conferences taking place at the University for both internal departments and external organizations. Whether your event/conference is brand new or an annual function, the Events & Conferences Office is here to support you and your function. Our office provides a variety of services including event and conference planning, implementation, and consulting.
To provide superior customer service to all, we use a client-based model when working with individuals and/or groups on their event or conference with the goal of being a one-stop contact for our clients. Examples of events and conferences include receptions, performances, lectures, dedications, academic and non-academic conferences, and many more. Please note that internal University meetings do not need to be routed through the Events & Conferences Office.
As a steward of University resources, the Events & Conferences Office is responsible for the appropriate invoicing of services provided for events/conferences and for the use of University facilities and other resources.
Scheduling of Resources
The University priority for resources, including facility use, is the academic classroom experience of our students and educational partners on campus. In connection to this priority are a number of University events including our Convocation Ceremony, Commencement Ceremonies, and other large-scale University-wide events. The Events & Conferences Office will review your request and determine the availability of University resources such as facility schedule, parking, public safety resources, equipment, and operations staff to ensure the appropriate resources are available to successfully implement your event/conference.
Planning & Implementation
Using our client-based model for planning and implementing events/conference, The Events & Conferences Office will navigate the University’s policies and procedures to successfully plan and implement your function. As the primary contact for our clients, we coordinate the various details of your function including facility reservations, catering, parking, equipment set up, audio/visual technology, and more.
Lead times for events and conference are important to the successful coordination of each function and the Events & Conferences Office appreciates as much notice as possible on your function. Please see our Planning Resources tab for more information on event/conference lead times.
For annual recurring events and conferences, our office provides a consulting service to ensure your function meets current University brand standards and guest experience expectations. Additional resources are available through the Events & Conferences Office to help meet these standards and expectations. Examples include University name tags, University banners and tablecloths, signage guidelines, and a guest registration platform.
