How to Use the New Student Employment Portal

Everything a supervisor needs in relation to student employment hiring – posting jobs, reviewing applicants, hiring students, ensuring required hiring documentation is complete, confirming a student is approved to begin working – is now within the Student Employment Portal.

  • If a student is already hired and working, no action is needed.
  • If you have a Student Employment Agreement currently going through the approval process, you will finish out that process. [The last day the SEA was accepted was March 6, 2024.]
  • Any new hires or hire updates (such as the fund number the student is paid from) must be processed through the Student Employment Portal. Please
  • Note: Supervisors must share expressed written approval from their respective VC/Dean/Director with Student Employment before a new job posting or Hire Request is processed/approved.

How to Log In

Fund managers already have profiles created within the system and can start with this step.
Supervisors and hiring managers will use this process after their profile is created and approved. Please follow the directions below this section in “How to Create an Employer Profile.”

  1. Log in using Single Sign On (SSO) at this link.
  2. Log in using Single Sign On (SSO) within OnePort.
    1. Navigate to OnePort.
    2. In the menu, click on ‘Employment.’
    3. Then click on ‘Student Employment.’
    4. Under Faculty & Staff, click “Your (Supervisor & Fund Manager) Dashboard.”

How to Create an Employer Profile (Check out this step-by-step resource on creating a profile!)

This step creates your profile within the Student Employment Portal, which is required in order to post a job/hire.

Note: Fund managers already have profiles created within the system and can skip this step. 

  1. Navigate to the Access Request Form.
  2. Complete all fields of the request form.
    1. You will be asked to input a password. This password will be replaced by Single Sign On once your Access Request is approved.
    2. In the ‘Employer’ drop down menu, select the department/fund number you use to hire student employees. The menu is searchable by department/fund name.
    3. If you hire through more than one fund number, please add the additional fund numbers you need access to in the Notes box. The admin will add these to your profile when approving your account.
  3. The ‘Submit’ button completes the access request form.

Once the access request is submitted, it will go through an admin review/approval. You will receive an email when the request has been approved and you’re able to fully utilize the Student Employment Portal.

How to Post a Job (Check out this step-by-step resource on posting a job!)

When submitting a job posting, please note that there are 3 distinct pages you’ll go through in the process. (Job Details –> Application Details / Applicant Information –> Finalization / Job Status). 

  1. On your Control Panel, click the ‘+ Add a job’ button.
  2. Choose your employer/department from the drop down menu and click the ‘Go to next step’ button.
  3. Select the appropriate Job Type and click the ‘Go to next step’ button. 
  4. Fill out the job posting template and click ‘Submit.’ 
  5. Review what the student will see when applying for this job. Add any additional questions or documents you’d like students to submit with their application. Click the ‘Submit’ button.
  6. Finalize the job posting by selecting when you want the job posting a) to be reviewed by an admin for approval, b) to be listed and visible to students, and c) to be taken down and no longer visible to students (aka the closing or expiration date of the job posting).
  7. The ‘Click here to finish!’ button completes the job posting process.

Once the job posting is submitted, it will go through an admin review/approval. You will receive an email when the posting has been approved and is live on the site. Note: This review was part of the past process in Bulldog NetWork.
