**As Departmental work plans allow, employees are encouraged to take advantage
of an extended Winter Break through "Flex Scheduling." Flex Scheduling involves
the use of Vacation Leave, Bonus Leave, or accrued Compensatory Time.
*A holiday for full-time employees is 8 hours. Part-time employees receive
holidays on a pro-rata basis. Example: A half-time employee receives 4 hours for
a holiday.
When a workday with hours greater than the holiday hours for the employees
work schedule is established, all hours above normal holiday hours will be
charged to leave to equalize out holiday benefits. For example, if a full-time
employee is working 4 - 10 hour days, they are still due an 8 hour holiday and
would take vacation, bonus or compensatory leave for the additional 2 hours in
order to have a full day off on a scheduled holiday.

HR Recommendations
Human Resources
recommends three options for communication to permanent employees desiring to
take time off during the break and wish to be paid for it. The Extended Winter
Break options for employees (who have not accumulated the necessary vacation
and/or comp time needed) are:

Telecommuting (work from home).
Supervisors may assign employees duties that can be completed from the
employee's home, and effectively assessed upon return.
-
Flextime. Somewhat ambiguous,
this option can be designed to accommodate the work within your area at
convenient times e.g., working longer hours or days during the busy exam
week that would accumulate as comp time and be used during the break.

Report to work as usual during
the Extended Winter Break. This may not be possible in all buildings and
all departments. If the employee and the supervisor desire to use this
option, supervision must be arranged in advance, as well as a work plan.
Supervisors should contact Facilities Management to request heating and
other accommodations needed to work in the building during the break.
These options are
listed in order that seems to best facilitate supervisory management of this
break. Human Resources recommends early communication of these options to your
employees, discussion of what best accommodates the departments workload for
that time period and documentation of the option agreed upon by the employee and
the supervisor.
